Members of Woolamai Beach SLSC,

Please find listed below some updates from the Board of Woolamai Beach SLSC following our meeting on 6th November 2019. Please remember that is it not possible to provide all notes and information due to the sensitive nature of some discussions. This document provides a snapshot.

It is noted that William Slator and Terry Aslanidis attended the meeting as guests.

Board Reports presented by Board Members:

President (Rob Murphy):

  • Installation of Water Tank was on standby. Hopefully proceeding week of 11th November. This was due to weather, as the tank cannot be put in during high winds

  • John Thomson, Life Governor, has taken on the projects of alternate beach access and the lease for the clubhouse itself. John has engaged a pro-bono sand engineer, who was involved in the original construction of the clubhouse

  • $84,000 grant that was given by LSV, one of the major items was the replacement of the retaining wall at the back of the clubhouse. This was not enacted as PINP Master Plan shows their moving on the wall. Instead, funds ($15,000) were re-directed towards the water tank.

  • Presentation Night has been booked and locked in for Saturday 16th May 2020 at Silverwater Resort

Vice President (Stafford Smith):

  • Due to a work matter, the Vice President was not present.

Director of Finance and Administration/Secretary (Mark Bain):

  • Club finances are in a strong position

  • Major involvement and thanks go to Rochelle for her management of the Pick My Project work on the ground

  • CFA Check is being completed on the Clubhouse Fire Extinguishers etc.

  • Insurance claims are still being worked on for the Clubhouse

  • Working on development fund constitution changes with Neil and then the board

Director of Life Saving Services/Club Captain (Max Eldridge):

  • Patrol Roster has been released- many thanks to Annie Coleman and Campbell Smart for their work!

  • Gear Inspection is to be completed this weekend (9th  November 2019)

  • Patrol Captains workshop, organized by Hannah Tzimokas and Josh Cottier on this weekend (10th November 2019)

  • Promotion of social events- will need help with this season. But happy to lead and coordinate

  • Voluntary Christmas Day Patrol- we will ask members if they can help, but certainly, apply no expectation. If people are available, they are. But it is NOT a requirement of our members

  • Awaiting information on PIMRS roster fill-ins from LSV

Director of Facilities/Assets (Darrell Clark):

  • A lot of the Facilities projects around the club have been completed, as per Facilities progress document

  • Maintaining drains and club pathways, this is PINP job, do we need to report this? We do need to report major issues. Blocked drains are the major things for us to ensure we do not flood again. PINP needs to maintain it. We can assist with maintaining our own serviceable areas

  • Chairs and tables- Went well with repairs. Replacing steel plates underneath tables. Taking down this weekend.

  • Painting internally- should nearly be done. Couldn’t get above the ATV and 4WD area. We should do this before the weekend.

  • The tower door should be replaced by this weekend.

  • Laundry washing machine and troughs should be done by this weekend.

  • Toilets have had to be replaced (Some of them, due to damage).

  • New Ovens- will in on the 14th, Electrician is coming on the 13th

  • Insurance Claims work almost complete. It should be done by the 15th of November (Stainless steel kick plate going in on stairs). Cupboards being completed.

  • Brent White- going to give us a quote shortly for facia and other items on the roof that are broken

  • Kitchen exhaust ducts being complete on the 15th  of November

  • Balcony doors, mechanisms are broken, have asked him to get a quote to replace. I asked for a pin and bolt mechanism on the bottom of every door. Mark Taranto providing a quotation. I asked for a quote to replace the door closest to the ocean with windows. A wooden screen will be installed near the door of the club on the deck. To stop the sand flow to the door.

  • Refrigerator servicing happening before the start of the season. Including dishwasher as well.

  • Painting externally hopefully done by end of the month. Weather dependent

  • Blinds coming in next month

  • Permanent maintenance schedule being organized by the Director and Rochelle

  • Gear shed grant on hold at the moment

  • Smith’s Tower- Kane Worthy is noting that the steel will always rust. Needs regular maintenance, with fresh wash and scrub. Undercoat and topcoat following. Professionals need to do it. At least 4 days work for 2 people. Professionals who have been contacted normally work on Oil Rigs in the ocean.

 

Director of Communications (Riley Fyffe):

  • The Director was thanked by the Board for the amazing work he has already done in the portfolio

  • Bass Coast series marketing campaign started

  • Nippers Dash and Cowes Classic already advertising

  • Requalification weekend and membership renewal next for the communication portfolio

  • Website access- Communications (Director) email has access to the website now. Thanks to Greg Harbour for his work with the Director

  • The intent is to get an external company to work on the Merchandise side of the website. We are now offloading our merchandise. The Competition Director asked for a Competition tab to be created on the website. Fiona Blackmore is working on re-ordering popular merchandise from last year

  • Partnership with local clothing going well. 10% of sale proceeds go to Woolamai Beach SLSC. 6 days and $114 raised already.

Director of Member Development (Brendan Smart):

  • The Director updated that PMP acquittal is the 1st of December 2019. Vic Government will go through all quotations and invoices to ensure they marry up

  • PMP has highlighted other small works around the club that need to be done. These have been documented.

  • Terry Aslanidis provided an update on training and assessment

  • We currently have 3 people for Adult Bronze, aiming for 5

  • Currently at 30 for Club Bronze Camp

  • Frank Dando and Upwey High Camp are sorted

  • SRC Camp is organized

  • Nippers Resus Award is being organized in the next month

Director of Nippers (Charles Tuchtan):

  • Marketing- Wooli Nippers News published Issue 2, 11 October 2019; Issue 3, 4 November 2019, Local newspaper article published 9 October 2019

  • Registration- 401 registered nippers. Website registrations have been replaced with a waiting list form.

  • Income as at 4 December (not reconciled against bank statement): Registrations & membership $61,110, Rashvests $8,820

    Total $69,930

    December 22 – Equipment preparation

    December 27 – Nippers! kit pick up

    December 28 – Nippers! program commences

 

Director of Competition (Jeremy Goodger):

  • Summer season training commenced at Smiths

  • Belt and real grant unsuccessful

  • Grant has been received for travel for 2 junior competitors to Perth

  • I had a meeting with Troy Hungerford and Charles Tuchtan about equipment management for boards etc. Including moving for assets etc.

  • The competition section of the webpage, already raised with Riley Fyffe

  • Bronze people and officials again are a problem, as well as management of Boards

Director of Leadership Development (Hannah Tzimokas):

  • Due to a personal matter, the Vice President was not present.

Decision Papers presented to the Board:

Competition Team Fees Decision Paper

  • The overall cost to the club is $1080 that the club subsidizes competition area

  • All in favor

Amendment to Nipper Board Loaning Process

  • Changed process with new equipment manager- details noted in Decision Paper. Inverloch, Melbourne, and Smiths to be supplied. The hiring fee for a Fibre Glass Board is $80. The hiring fee for a Foam Board is $40. If they are damaged by the individual in the course of their private use, not a competition, the individual who hires the Board must pay for the repairs. Hire Fees are not refundable.

Urgent/General business presented to the Board:

  • Nippers E-Book

  • Michelle Murphy notified the board that she had a meeting with Emma Atkins and Shelley Snow. She thanked the board for committing to the project. LSV is going to run this book for the state and thanks Woolamai Beach SLSC for their work.

  • Assessors Running Short in Club

  • DC raised the issue of Alan Hailes gaining the end of his Assessors Course

  • The club pays, we then get refunded by LSV

  • Rescue Boards from LSV that were damaged at Gold Camp

  • ME has asked Briana Newson for a status of these
